1. Supporting the children and adolescents during travel to and from the meeting including transport to the airport, providing support at customs/immigration, check-in, boarding the plane, travel to your hotel, local travel, excursions etc.
2. Ensuring that all children and adolescents have emergency phone numbers (for example, the embassy or consulate of their home country) on them at all times during travel. Accompanying adults should give orientations on how to use phones in different cities visited (including any transit country) and children and adolescents should also be given phone cards or adequate cash to ensure they have an independent means to call their embassy or consulate if they have a problem during travel.
3. Informing about and explaining the role of the Child Protection Focal Person at the meeting to children and adolescents, as well as the formal complaint procedure for the meeting.
4. Being physically near the children and adolescents and aware of their whereabouts at all times.
5. Being aware of the children and adolescents’ physical and emotional needs and assisting in meeting those needs as appropriate or make every effort to meet those needs in meetings with the organisers and other participants.
6. Making sure that the children and adolescents are able to communicate with other groups of children and adolescents. Accompanying adults will also have to act as interpreters for the children and adolescents during the Regional Gathering. So, we request that you also read the Guidelines for Translators.
7. Acting as a translator so that children and adolescents have the opportunity to participate in discussions and activities outside the Regional Gathering (in the mornings before the meeting, after the meeting, during leisure activities and so on).
8. Administering correct medication and dosage to children and adolescents when necessary.
9. Liaising closely with the Child Protection Focal Person to keep the meeting organisers informed of any difficulties that children and adolescents might be experiencing.
10. Giving children and adolescents any other physical and emotional support that they might need. Accompanying adults should keep copies of the children and adolescents consent forms/medical history forms with them at all times (which include written permission from their parents/carers to act on their behalf for medical emergencies).
11. Supporting children and adolescents to take the best possible advantage of the opportunities available.
