THE DIALOGUE GUIDE FOR MANAGERS
The purpose of The Dialogue is to:
1. Celebrate the accomplishments of team members and recognize their achievements in personal development for the year.
2. Help managers understand the strengths and weaknesses of their team members, in order to manage further task allocation to develop team members’ weakness areas and to increase work efficiency.
3. Allow team members to recognize areas for development, and to provide an avenue for team members to seek advice on development areas.
After receiving the form from your team members, take a few minutes to go through the answers and use them to refresh your memory on the work activities your team members’ have completed during the review period. It may be useful to jot down the key points of interest in preparation for the discussion.
Initiate a private 1-on-1 discussion with your team members to discuss their activities over the review period, what they have done well and which areas need to be further developed.
The following points may help to guide your discussion:
1. Ensure that you team members know that the goal of this discussion is for development purposes and is not about tracking their performance.
2. Encourage your team members to give examples and on your end be ready to give specific work examples to make it clearer to your team members on your message.
3. Use what your team members have written in the review form as a guide, together with your own impressions to provide constructive feedback to your team members.
4. If this is not the first development review for your team members, ask about the feedback from their previous development review and find out if they have been responsive to previous feedback and improved. If not then why?
5. Focus on both the positives and negatives. Should encouragement for your team members by letting them know what they have improved already as well as what they need to improve.
Here is a list of development areas that may help you in evaluating your team members:
1. Execution – Ability to complete tasks quickly, efficiently and well (e.g. time / resource management, attention to details)
2. Communication – Ability to convey messages and influence other people (e.g. writing emails, speaking, presenting)
3. Analysis and problem solving – Ability to obtain, evaluate and analyse relevant information / data and use it to solve problems
4. Work attitude and commitment – Ability to show our core values and positive work attitudes (e.g. we serve, we adapt, we run, we commit, we stay humble, initiative, punctuality)
5. Teamwork – Ability to contribute and complete a team task as well as boost team morale
6. Technical / industry knowledge – Ability to use relevant technical / industry knowledge to complete work tasks
