Section 4.9 Physical Access Controls, Employees
An employee identification system must be in place for positive identification and access control purposes. Employees should only be given access to those secure areas needed for the performance of their duties. Company management or security personnel must adequately control the issuance and removal of employee, visitor and vendor identification badges. Procedures for the issuance, removal and changing of access devices (e.g. keys, keys cards, etc) must be documented.
Sojitz Corporation of America’s (“SCA”) New York Headquarters and Seattle offices maintain a badge identification system in order to: identify employees, visitors, and others; control visitors, delivery drivers, and suppliers; ensure proper access to company facilities, and ensure safe and secure work environment for our employees.
Employees are issued a standardized picture identification badge which is to be carried on their persons at all times while on company property. Where applicable, employee identification will specify the areas or designated areas to which the holder has been granted access. Employees must remove the badges when exiting the property.
The General Affairs Department is responsible for issuing badges and maintaining all applicable records at these two facilities. Employees are required to report the loss of, or damage to, company-issued identification. General Affairs will take measures to “deactivate” the lost badge for any physical access assigned to the magnetic strip.
Employees are required to surrender badges and other company-issued identification at the termination of employment. Additional procedures are in place to terminate access when employees have been issued keys, computer access, and other company property. SCA reserves the right to search all persons, vehicles, and personal effects arriving and departing the facility.
SCA’s Houston and Portland offices do not use badge identification systems, however, their office suites are locked at all times. Access requires knowledge of the lock combination. Visitors and deliveries are only allowed entrance by office staff after identification. Visitors and deliverymen are accompanied at all times and are allowed very limited access to the office suite, i.e., reception and/or a conference room.
