1.Front Desk
•Responsible for ensuring that all calls are answered in a timely, by organizing cover for absences as required
•Ensure all visitors are signed in correctly and understand safety protocol
•Ensure that a strong first impression is made to guests and visitors
2.Office Communications
•Facilitate all incoming and outgoing mail, including:
•Postal mail
•Courier services for distributors, customers and employees, both interstate and international
•Actively monitor costs for courier services, find efficiencies, and recommend changes to vendors or services as required minimizing charges and maintaining service
•Coordinate in each company departments to follow up documents on behalf of sales team.
3.Administration and Amenities
•Collate, order & distribute stationery & amenities
•Collate, order & distribute courier supplies
•Collate, order & distribute business cards
•Maintain and distribute communication directories for all staff and key contacts
•Prepare & distribute monthly mobile phone usage records
•Prepare & distribute monthly fuel cost records
•Verify goods and services received and match invoices
4.Office Service and Equipments
•Manage cleaning contract for office by sourcing best value contractor, and ensuring standards are maintained
•Communicate specified cleaning requirements to the cleaners
•Ensure all copiers and printers are maintained by monitoring and ordering supplies, organizing service.
•Assist staff in use of equipment
5.Meetings and Functions
•Organise in-office lunches, meetings etc
•Organise other functions as required
6.Travel
•Liaise with the Service Provider to ensure that the Bookings for the flights, accommodation and car hire for all national staff has been made
•Forward itineraries & booking details to the traveller
•Book flights and accommodation
•Ensure customers are invoiced as required
•Organise lunches and supplies
•Administer course bookings
8.Personnel
•Record staff’s travel, sick, annual leave (and other)
