Since the implementation of John Deere University, we have not set a cancellation policy to automatically be enforced when a user or DTC self-cancels registration in an instructor-led training-type item. If we have cancelled users as administrators, we have had the option to manually set the price to be “refunded” and could therefore enforce the cancellation policy at that time, but there was not anything set up in the system to do such a thing if a user or DTC cancelled a registration themselves.
We have researched the automated cancellation policy set-up and are now comfortable with moving forward with implementing it.
Action Required
Please “reply all” and say “yes” or “no” if the Region 4 team can set up the 7 day cancellation policy on the Region 1-owned items/courses in the attached Excel spreadsheet.
If the answer is “no” because you would prefer a different amount of days in the cancellation policy, such as 1 or 14, please refer to the “Create A Scheduled Offering” Word document job aid attached to this e-mail. The cancellation policy is a one-time set-up at the overall item level. The only reason why the steps are in the “Scheduled Offering” job aid is because an item must have at least one scheduled offering set up at one point or another in order for an Admin to be able to set up an automated cancellation policy to be enforced. Once the cancellation policy is set up, all future scheduled offerings will “inherit” that cancellation policy to enforce when a user or DTC cancels a registration within that window of time.
If the answer is “yes” there is no further work you need to do – the Region 4 team will set up the 7 day cancellation policy to automatically be enforced when a user or DTC cancels a registration.
The cancellation policy that is set up must follow the amount of days detailed for your country in the attached PDF file (S. Africa – page 2, Thailand & India – pages 6-9). We may have some difficulties if different countries have different windows of time that they consider “late cancellation” for the cancellation policy (example: 7 days versus 14 days) but they co-own the same item/course in JDU. Please let me know if we have any situations like that and I will see what can be done.
