In light of the WebEx issues many at Aurecon have been experiencing, IS have launched a ‘WebEx Remediation’ project.
Meetings with our WebEx provider, Cisco, have already taken place in order to actively identify remediation activities based on the feedback and analysis of the issues.
IS are confident that, when implemented, the outcomes and actions identified will greatly improve Aurecon’s WebEx meeting experience.
In the interim, IS are commencing a series of communications to assist the entire WebEx community on how to get the best results from the current system.
Below is the first of the series:
Advice on JOINING a WebEx Meeting
BEST practice:
1. Dial in using a land line phone (either a desk phone or conference phone)
Caution - Do not use the speaker functionality of the desk phone as it often produces echoing noise and can be distracting to all.
LESS optimal choice:
2. Dial in using a cell/mobile phone
If you must access with a cell/mobile phone, take note:
Caution - Cell/mobile phones are prone to disrupted service, especially if reception is poor or intermittent. Battery time can also cause issues.
Caution - Do not use the speaker functionality of the cell/mobile phone as it often produces echoing noise and can be distracting to everybody else on the call.
Advice – Find a location where you can get the best phone reception and try to remain in that location during the duration of the call.
Advice – Make sure that the cell/mobile it is adequately charged or have a charger handy.
Advice – Consider using a headset and mute your line.
LEAST preferred option:
3. Join using your PC and headset
Caution - This is equivalent to making a Skype call and subject to the stability of your internet connection AND will often introduce echoing noises, feedback, muffled audio, etc.
Advice - Only use this option when you are not actively participating in the meeting but just want to “listen in”, i.e. on mute.
Important steps to support a successful WebEx Meeting:
Step 1 – Choose a location with reduced background noise (consider construction, traffic, pets, surrounding office noise, children, etc.).
Step 2 – Join the meeting 5 minutes early to test and make sure everything is working as planned.
Step 3 – Know how to mute your line and do so when needed or requested.
Step 4 – Know the protocol for the meeting:
• Do you have the freedom to interrupt the meeting/speaker?
• Can you text message, instant message, or email someone to assist you?
