Close out reports
The close out report can be structured to address the following,
Historical data – this can help future estimates, and feasibility studies
Comparative data – performance on present and previous projects can be compared to identify trends that can be used for future projects
Recommendations on how to manage similar projects in the future
The close out report can be provided at the end of the project, or at the end of significant stages, or at the end of each month. The close out report needs to generate data from project records and project personnel and the approach to gathering such data needs to be considered in the light of the following points,
Availability of project personnel and willingness to respond to a short questionnaire
Availability of resources to analyse data and conduct follow up interviews with key project personnel
Sufficient time to prepare and circulate draft report for comments from all key project personnel
Availability of resources to hold a close out meeting with key personnel to discuss the contents of the draft close out report
