I just wanted to send you all an email to advise you on some updates to the MICE sales proposal template that we have been working on with regards to promoting food and beverage options at our properties.
Below you will find a link for your properties “Food and Beverage Slides” which can now be inserted into your “MICE Sales Template”. These slides are designed to be a template which you can use to revise and modify to include menus, entertainment and venue options at your property.
I have attached an example of what we have created for both CGCW and CSBR. Please note that the formats are slightly different as one property is a resort and one is more of a conference venue and thus require a distinct style/format.
For the resort properties we have created a summary page of what gala dinner menus are available as well as the various locations in which these can take place. I would highly advise all resort based properties take this template format and convert to mirror the options available at your property.
With regards to the convention hotels I would follow the templates for CGCW as you will have many varying meeting packages, coffee break options and larger scale lunch and gala dinner menus.
Please note that the imagery will be inserted by yourselves and I would highly recommend that you start creating a image library within sales which you can use to add into your menus accordingly.
Remember! The format is subjective to the request from each client and this document is used to merely advise our clients as to what menus are available. I do not advise that you send each menu but when forwarding the initial proposal add in the top line information on what is available (see both PDF’s attached as example)and at a later stage forward the appropriate menu options
The aim is to have all properties using these slide by the end of February therefore I would like to see your updated slides forwarded to myself for final approval by Friday 27th February.
Downloading and updating your template-
1. Download your properties slides to your desktop using the following link http://we.tl/FrEbZrLWe3
2. Open your existing slide template master
3. Go to the “View” tab in the taskbar
4. Then select “Slide Master” to open master slide templates
5. Drag and drop the “F&B Template Slides” into the existing slide template master (Advise this should be after the Meeting Room Information Pages)
6. Make amendments to information and be mindful to rename each slide accordingly
7. Save down new document
8. Send final version to Sarah Randall for approval
When personalizing these slides with your information I would like you to consider the following points-
• Summary of -
o meeting packages
o coffee break options
o lunch menus
o gala dinner menus
o beverage options
o locations for coffee breaks, lunches and dinners
o entertainment options
• Menus (2, 3 or 4 course / Gold, Silver or Bronze / Thai, Western, Indian or Chinese)
• Imagery for each menu, location and set up
I appreciate this document could take some time create but I am confident that this will have a positive effect on rfp’s in the future and even increase spend.
