Khun Kingpaka kha -
Thank you for the first voucher submission for KKU's Civil Society Parternships Project (CSPP).
In comparing this voucher to the budget included in the draft annual workplan submitted by Aajan Buapun on Dec 22, I suspect that the CSPP activity has not included all of its expenses in the current voucher. The workplan budget clearly anticipates certain costs, such as telephone expenses and recruiting costs that would have been incurred in the Sept 25-Dec 31, 2014 timeframe. These are not included in the voucher.
It might be best to use the budget format from the workplan and then track expenses against that for a more detailed, complete voucher. I have examples from other projects, but it might take time before I could remove all the proprietary information. Please let me know whether such an example would be useful to you.
Also, the Cooperative Agreement includes a fixed amount of cost share that must be tracked/accounted for throughout the project. The draft workplan already mentioned a number of "in-kind contributions" such as equipment and office space that should be captured in your financial reporting under the SF-425. If you are uncertain how to capture this information, we should set up a training session to help you become familiar with this very important part of financial reporting.
This is a very good first effort kha! Let's work together to set up a good structure for capturing a complete picture of the project's expenses and cost share contributions.
