Financial Report Guidance Notes
A financial reporting template will be provided for BCST, pre-populated with the information agreed in Annex B (Budget). As part of reporting obligations, BCST must complete the template within the timetable identified in the contract (above). The RSPB will accept financial reports with original signature either electronically or in hardcopy. Please note, an inserted electronic file signature is not acceptable. All original evidence of expenditure (receipts, invoices etc) should be retained in BCST’s office. These must be made available upon request for verification purposes. All hard copy evidence should be easily identified using the same "Unique Document ID No." as listed on the report.
To simplify the report, identical transactions made on a monthly or quarterly basis may be combined if appropriate, i.e. a salary to an individual can be listed as just one transaction even though the transaction is made each month. In addition, expenses relating to travel and subsistence may be combined per ‘trip’.
BCST is requested to complete section D (Project Activity) and Section E (Details of person completing report) only.
Section D – BCST should complete columns A, B, C, F, G only.
A - Date transaction was made
B - Identity number of transaction.
C - The amount of the transaction, in the currency of the contract.
F - Choose the applicable budget category from the supplied drop-down list.
G - Supply a brief description of the transaction.
Section E - please add the details of the person completing the report and ensure the signature is original.
Annex D
Indicators of BirdLife Partner effectiveness and impact of RSPB Support
The partner indicators are a useful tool to assess the progress of RSPB’s Partner Development Programme and to help determine if it is on track to achieving its Saving Nature goals and objectives. They provide, furthermore, a framework to target RSPB’s support and they can be used to assess the contribution a partner is making to BirdLife’s Global Programmes.
There are 8 indicators for organisational development and 8 for conservation impact. The Partner Development Officer will collect the data and agree the targets as part of a discussion with the senior managers of the organisation.
