Provide administrative support (eg.filing of documents, stationery requisition) to immediate supervisor.
Provide secretarial support (eg. typing, taking of Minutes at meetings, and scheduling appointments, preparing presentation charts) to immediate supervisor.
Coordinate appointments, meetings and seminars for supervisor.
Drafting of general correspondence, replies or company announcements (eg. invitation letters, declining vendor invitations, government organizations) for supervisor.
Arrange travel requirements of supervisor and assigned departmental associates travelling on business trips (eg.flight bookings, hotel reservations) including incoming guests/associates from other Ingram Micro locations.
Ensure all confidential documents/records, files, reports are properly filed and kept.
Assist in coordinating ad-hoc projects and compiling of reports as assigned (eg.conversion projects).
Cover duties of assigned secretary (in other departments) during leave of absence (sick/annual leave).
Manage department or office photocopier, fax machine and other office equipment including maintenance service contracts.
Ensure office incoming and outgoing mail processes are functioning effectively and make improvements to system as appropriate.
