Here are the notes that I took following the discussion with Yasu on Friday in relation to Hendrik. The overall intention is that Thailand will get paid for the amount of time that Hendrik works on each program, especially in regard to travel and prep time.
I involved myself in this matter as during a review of Thailand trainer utilisation it occurred to me that we incurring a loss on Fuso (and any other business) with Japan and Thailand were only being reimbursed for 50% of travel costs and prep time.
Present situation: when Hendrik is doing prep or travel for Fuso (or any project) Thailand is only paid for 50% of the usual day rate. When the time expended is more than ½ day, Thailand actually loses money. This is due to the fact that Thailand are charging in accordance with inter company agreement of cost + 15%
In future: Hendrik will be paid for actual time worked in increments of ½ day – if he works 4 hours then get charged at ½ day if he works more then gets charged at full day. This cannot be charged retrospectively
It is essential that both the customer facing location (Japan) and the supplying company (Thailand) agree BEFOREHAND where possible the amount of travel and prep that is required. Where the scope changes and the need is greater than anticipated then both entities need to discuss and agree a way forward.
