Position: Support Services Officer
Location: Vientiane Capital
Purpose of the position:
Provide support to sponsorship operations in managing Sponsors and children communication of 15000s RC and to ensure correspondence are tracked in STEP System and response to partnership as partnership standard. This position is to strengthen capacity of field staff by providing feedback and giving input to support service coordinator to coordinate with capacity building person and ADP Program encouraging RC participation, improving reading and writing skills for children.
Major Roles and Responsibilities:
Manage and provide excellent services to Sponsors, Support Offices/Partnership Efficiently
Manage all the required sponsorship communications with accuracy, timely manner, and cultural appropriateness.
Provide translation for Sponsor and Child correspondences and other document require from the department
Ensure correspondence are being controlled and able to response to sponsors on time
Develop tracking system to follow up and ensure field staff is able to send response on time.
Record and keep track correspondence into STEP system
Regularly print TO DO LIST from STEP System
Regularly create Correspondence Status Report and Correspondences Statistic Report to ensure STEP data is accurate and used.
Provide leadership in leading volunteers to ensure Annual Progress report and Greeting Card is sent to sponsors as schedule.
Support children participation in sponsorship communication for transformed relationship.
Provide feedback on the quality of sponsorship communication in term of children authentic writing to the assigned field offices.
Compile and share the inspiring child writing potential for transformed relationship to other field office.
Monitor and report the progress of children participation in sponsorship communication to the supervisor.
Motivate field staff to encourage child to write and give good guidance for child writings.
Provide supplementary report on the writing skill issues to the ADP for follow up action.
Accountability & Quality Assurance
Ensure that all sponsorship information and communications is handled and maintained according to the WVL Sponsorship Operations guideline and policy.
Work with Zonal offices in development and utilization of agreed sponsorship monitoring and reporting procedures and tools to effectively improve the performance record of sponsorship operations.
Accuracy and timeliness of the sponsorship communication and information are demonstrated through KPI and feedback from the Sponsors and Support Offices.
Review and recheck tasks must take place during the incoming information and outgoing information
Regular report on the workload and pending issues are traceable in the monthly management report with planning and recommended solution.
Discrepancy on the data must be reconciled immediately after the finding and the case disclose at work.
Liaise with ADP and other World Vision stakeholders on sponsorship quality issues and on reporting and monitoring tools and processes.
Establish regular and constructive feedback and interaction with ADP and Provincial to address issues and resolve any outstanding gaps in the Sponsorship Operations Indicators (KPI).
Document follow-up issues and report for immediate response to the higher management

Educational Qualification: Diploma or Bachelor degree of English and communication specialist
Knowledge, Skill and Abilities:
Social and development studies or related fields
Computer skills in world and excel
Enjoin working with information and entry information in computer system
Able to analyst data by using Microsoft Excel
Experience translation both English to Lao and Lao to English
Excellence typing skills both-English and Lao languages
Very good ability to read, write both – English and Lao languages
Familiar with Child Protection and Participation related
Ability to manage multiple data and workload control in short deadline.
Ability to maintain good inter personal relationship, and motivation skills.
High degree of computer literacy and intermediate level skills in using Microsoft Word and Excel.
Ability to identify and plan work effectively to successfully meet deadlines
Enjoin working and willing to help other as team work
