Guidance on Obtaining Content from Residents

Contributor Consent
With the growing sophistication of audio and video recording equipments on mobile
devices, there may be occasions where people will not realise they are being filmed,
photographed or recorded. Even if they do, they may not realise that the images or
video footages of them may subsequently be used on social media platforms. They will
therefore not always have an opportunity to request for the recording party to stop the
action.
When we are soliciting, taking photos or recording video footages from our residents, it
is important to request for permission and consent from them, and letting them know
beforehand that their photographs and/or video clips might be used in our Ascott’s
social media platforms.
The following are some suggested ways to go about obtaining consents from residents:
1. Display of Notice
During an event/function, you can consider displaying a notice (for e.g., at the
registration desk) to inform residents that their photographs and/or video
footages of them will be taken and may be shared on Ascott’s official social
media platforms.
2. Audio/Video Recording
If audio or video equipments are used at an event/function, you may try getting
the residents to say a line to two to acknowledge that they are aware that they
are at an Ascott event by saying a few words such as “this is for Ascott/
Somerset/ Citadines /Property Name” as verifiable proof of consent and may be
shared on Ascott’s official social media platforms.
3. Consent Form
Where appropriate you may also get the residents to sign a simple consent form
(suggested format in the following page) to acknowledge that their photographs
and/or video clips of them taken at the event/function may be shared on
Ascott’s official social media platforms.
