After checking our telephone records for the past six months, and receiving numerous complaints from customers about the difficult of calling in to our company, the management has found necessary to issue guidelines on the using of office telephones, especially for personnel calls.
We do not want to intrude on our employees personal lives and realize that emergencies can always be happening but access by our customers is of the utmost importance. Henceforth, the use of office telephones for private, i.e. non business, calls will banned. All employees wishing to make personal calls on the office telephone must have the prior approval for their immediate supervisors.
Of course, there will be impossible to place a definite limit on the length of business calls, but please be warned that telephone calls will be randomly monitored. If a line is open too long, or if the call appears to be non-essential, the employees will be warned, and may be asked to pay for the call.
Regard to incoming personal calls, please keep them short and ask to call your caller back on a public telephone or your own mobile phone. To make this more convenience, we have installed a public pay telephone outside each offices. However, even using the public phone, we expect our staff to keep the calls to a minimum in order to service our customers.
