The Shipping Coordinator will report directly to the Logistics Manager and will be responsible for the following key functions.
Being responsible for shipping management, providing an interface with the local sales organisation and factory by coordinating the following activities:
Collating & consolidating CCS (contract completion sheet), invoices, dispatch notes from contracts & packing lists from warehouse for shipment dispatches.
Preparing shipping documents i.e. invoices, packing lists, delivery advice and HS (harmonised system) code forms for Customs compliance.
Applying for Certificates of Origin from the Chamber of Commerce or Ministry of Economy if required for shipment dispatch.
Completing application forms for acquiring certification from accredited agencies for testing and inspection of materials if required and necessary for shipment dispatch.
Coordinating with warehouse-loader/personnel for loading of all shipments for dispatch.
Monitoring and anticipating final BL (bill of loading) or air waybill copies for all shipments dispatched.
Liaising with forwarding agents regarding LCL (part shipment or not a full container shipment) or air freight shipments for dispatch.
Filing outbound shipping documents and communications for all shipment dispatches.
Collating and sorting original shipping documents from suppliers for all incoming shipments.
Liaising with forwarding agents regarding the collection of original shipping documents for submission to Customs and shipping lines.
Liaising with forwarding agent/s regarding the status of incoming cargoes for clearance and deliveries.
Coordinating with warehouse-in-charge/personnel regarding all incoming shipments for unloading.
Preparing and updating import/incoming shipment reports for internal customers.
Forwarding required shipping documents to GRIN (goods receipt inwards) personnel.
Sending pre-alerts to internal and external customers for all delivered cargo.
