experience shows that most catering clients will not off premises AV companies unless the hotel's AV equipment is priced exorbitantly. they prefer the convenience of an on-site department. for instance, when the department is located in the hotel,a client can examine the equipment beforehand,back-up equipment can be retrieved quickly, equipment can be secured on-site,and qualified technicians are on site and can respond immediately if problems arise.
catering must see to it that the AV manager is kept apprised of all client AV needs. The equipment, its delivery and pick up, and any necessary technicians must be scheduled well in advance. sometimes the hotel is so busy that the AV manager must use and reuse a particular piece of equipment several times during the day, for several functions. During the season, close communications are necessary in order to pull off these scheduling miracles.
