I have several people who confirmed with me direct that they will come. I suggest following scenario:
1) I (or each one who get the direct mail) send an individual reply mail saying something like:
“….Thank you for your registration for the event 29th. To keep an overview I have forwarded it to our
colleagues – they will contact you with more information about the event soon as possible and will also be
helpful with all questions in the meantime.”…and also may be some nice individual words if necessary.
In case we support travel/hotel etc. I will also mention this and will redirect to Annie in case of any question.
In Bcc: we will send this mail to Vaitea and Annie for information.
2) We wait until 13th next week and send everyone in the list will get an individual mail to confirm the registration.
There might have two mails:
A) for the guys we know that they might real come
B) for the guys who most likely will not come but was showing their interest in our project
(Viatea: can you make a proposal for both mails?).
3) For all others who will confirm direct/or register via webpage visiting us after the 13th:
Will get the confirmation mail immediately.
We will send two reminder as “updates” 19th and 26th morning time (my suggestion).
