1) In the evening of 15th, after confirming all the input of inbound / outbound cargoes until 15th Nov. has been finished, please issue stock report from your system.
2) For Auditor’s audit on 16 Nov (Wed):
a) Visitors:
a. Mr. Maeda: Zojirushi Japan’s audit company
b. Mr. Yamada: Zojirushi Japan
c. Mr. Ogura: Zojirushi Japan
d. Mr. Matsuo: Hitachi Transport Japan
e. Mr. Fujiwara: HTST
f. Sotoaka: HTST
b) Time: At/About 9:30 am – 1:00 pm
c) Auditors will pick about 10 items in advance, and will conduct stock check on the day. I will inform you the model names 3-4 days before audit day.
d) Auditors will pick about 5 more items on the day without pre-information, and will conduct stock check.
e) For this purpose, please prepare the stock list by model name. (When auditors pick any model name, we have to know the location number on the spot.)
f) Kindly allow us to use a meeting room.
3) For 100% stock take on 17 Nov (Thu) & 18 Nov (Fri):
a) As per usual way
b) For this purpose, please prepare the stock list by location number.
c) As usual, please count 100% of stock very carefully.
4) Kindly instruct your warehouse team to support our stock take;
- stock-report by model name (for 16 Nov) and by location number (for 17-18 Nov).
- equipment (forklift and lifter)
- manpower.
5) Most importantly, the stock lists from your system, our system, and physical count must tally. Could you please conduct pre-stock take, as much as possible, to ensure accuracy? As the stock level is very high at the moment, we are worried a little. Anyway, if there is any discrepancy, we have to report during this stock take, and not later.
6) As there are many pallets stored now, please kindly ensure those pallets are well controlled. Pallets on the floor should have your system location number, pallet-by-pallet. There should not be any problem for you to find the relevant pallet when the auditor requests for any model name on the spot.
7) As usual, please ensure complete cleanness of the warehouse. This is also one of the audit items.
