10 AR AGING
The head of accounting department/financial controller must review the monthly ar aging report in the monthly credit meeting. During this review, the following items should be analyzed:
A. Ensure billing and collection efforts are working effectively.
B. If the AR aging results do not meet the standards established, develop plans and actions to improve the collection time.
C. Verify that credit card and charge back accounts are current.
D. Explanations on the status of all billings over 60 days old.
E. Identify potential issues or concerns and develop plans and actions to address them.
The following industry standards have been recommended for accounts receivable aging
0 - 29 days 60%
30 - 59 days 25%
60 - 89 days 10%
90 - Older 5%
At the end of each month, the credit manager / officer should consider:
a) Accounts Receivable turnover = Total Sales (incl. service charge and taxes )/ Average Accounts Receivable
b) Average accounts receivable = (Opening Balance AR + Closing Balance AR)/2
c) Average collection period = Days in year or month /accounts receivable turnover
11A Chas receipts and cheques received via mail
1) Cash received at the front desk must be verified by way of receipt. The receipt will be in the form of a guest folio. All cheques received by mail must be detailed on the mail received log in accordance with the LSOP on mail and courier.
Accounts receivable payments received at front desk:
2) Payments relating to accounts receivable which are received at the front desk should be issued with a receipt generated by opera PMS. For hotels in Thailand, in addition to this, a manual tax receipt must be issued.
3) The back-up copy together with the cash or cheque payment must be put in separate cashier envelope (Quote for AR) and dropped as per the LSOP on cashiering.
