1. Summary
This space should be used to provide a brief summary of the progress made by the project over the past reporting period. This should be no more than half a page long, and should include a brief description of the project, including the main geographic focus and target groups, and an overview of the progress made over the past year.
2. Changes in Internal and External Environment
This space should be used to identify significant changes in the internal and external environment that have affected the project over the past reporting period. You should indicate how these changes are likely to affect the project over the next reporting period.
3. Activities
This space should be used to provide list of the major activities carried out over the past reporting period. Details of each activity should be described here including number of people involved and the outcome of the activities.
You should also indicate any major activities that were not carried out, and explain why they were not carried out.
If any major activities were unplanned then this should also be noted.
You should also note any major activities planned for the next reporting period. However, this should include major highlights only, and you should not seek to develop a detailed plan within this report.
4. Progress against Project Objectives
This section should be used to describe progress against the objectives defined in the project plan. For each objective, you should describe progress. Where possible, you should use the indicators defined in the project plan to provide evidence of change. However, you might also want to use other evidence to indicate the type and extent of changes occurring. You should cover all of the objectives. If no progress has been made against an objective, or if you do not know what progress has been made, this should be stated.
In addition to the objectives, you should also note any other major changes, positive or negative, planned or unplanned, resulting from the project.
5. Lessons Learned
This space should be used to identify key lessons learned over the past reporting period. One way of approaching this would be to think of what you might have done differently if you had started the year again? Or what advice you would give to anyone starting a similar project in the same area(s)? Some other questions to address might include the following.
• What work went particularly well or badly?
• What adjustments were made as a result?
• Did these adjustments work or not? if not, why not?
• What challenges were there? Were they overcome? if so, how? if not, why not?
• What opportunities were there? Were they taken?
• What new ideas and innovative work have arisen from this year’s work?
• Has there been any significant learning from research, evaluations or workshops carried out this year?
• What learning has there been from other actors?
You might also want to give an indication of which particular lessons could be shared with others, both within the project and more widely.
6. Recommendations and Future Plans
Based on the previous sections, this space should be used to outline any major changes to future plans, and to outline any recommendations you have the future. Recommendations might apply only to your own work within the project, but might also apply to other work across the thematic programme.
7. Budget
This space should be used to denote any key issues regarding the project budget. This might include:
• any major problems with the budget to date;
• a brief statement of how far the budget is on track; and
• any major issues you feel might arise over the next year.
A full financial statement should be attached to this report.
