Handling telephone
Make sure that all guests and department requests are handles and followed up within 10 minutes
1. Clerk must answer the telephone within 3 rings
2. Clerk will say greeting with the following phrases
“Good Morning Sir Mr. / Mrs. ” or
“Good Afternoon Sir” or “Good Evening Sir”
“Housekeeping department, ……….Name…. Speaking, how may I assist you?”
3. When the ending with “Good night sir, have a pleasant evening”.
4. Clerk should listen clear and carefully.
5. Clerk will repeat all the guest’s requests from the butler, record time, room number or department details of into the log book.
6. Convey guest requests by phone to supervisor or Rooms attendant. Ensure they deliver supplies to the guest room immediately.
7. If it is a difficult requirement, ask the Executive Housekeeper or the duty.
8. Handle the request and call back the clerk to advise that it has been done.
9. Record “action by” and “time” completed.
10. Reviews daily log book and follow up mistake or slow service.
