Using the picture Toolbar in Microsoft word:
This tutorial will show how to insert a Clip Art picture into a document and adjust it for the best tactile results using the Picture Toolbar in Microsoft Word. This tutorial will be helpful for working with complex graphics that may need to be simplified for better tactile comprehension.
1. Open Picture Gallery From Your Microsoft Word Template
Begin with opening your Microsoft Word workspace template. See the “Prepare the Workspace and Save as a Template” tutorial, if necessary. Next, to insert a Clip Art picture in this document, go to the INSERT menu and select PICTURE followed by CLIP ART. This will open up a gallery of available pictures, both on your
hard drive and on other removable media.
HINT: It is also possible to insert pictures from existing files, however this will not be
covered in this tutorial.
2. Insert Selected Picture
In Windows XP, after selecting CLIP ART, a dialog box will open towards the right of your window where it is possible to search for a category of pictures. Try typing in “cars.”
After selecting ENTER, the available car pic- tures will be displayed.
Continue by tabbing down to or moving your mouse pointer over the images displayed. When a picture is selected it will have a blue frame. A single click on the picture with the blue frame will insert it into the open document. For this exercise we will use the following image.
3 Resize the Picture
Use the instructions given in the “Labeling with Text Boxes” tutorial to give your image the desired dimensions.
HINT: When working with graphics, a larger picture will sometimes read better tactually.
Try using different sizes to determine what will work best for you.
4. Open Picture Toolbar
When your image has the desired dimensions, single right-click with your mouse on the picture. A dialog box will appear displaying different picture options. Select SHOW PIC- TURE TOOLBAR.
HINT: The Picture Toolbar can also be opened by going to the VIEW menu, then TOOLBARS and PICTURE.
5. Adjust Appearance of Picture
On the PICTURE toolbar there is a button named COLOR. By clicking this button, four alternatives become visible.
Black & White: By default, the color is set to AUTOMATIC. If you prefer just a plain image without different shadings, choose BLACK & WHITE. The layout of the picture automatically turns black and white and can be embossed instantly on ViewPlus embossers.

BLACK & WHITE option selected.
Grayscale: If you want to have the image embossed with different dot heights to reflect shadings select GRAYSCALE, the second option under the COLOR menu on the picture toolbar. ViewPlus embossers will automatically represent different colors with different dot heights, so you don’t have to change your picture to GRAYSCALE, but it is helpful for better imagining how it will appear.

GRAYSCALE option selected.
NOTE: At any time, you can reset the size and layout of the image to its original by pressing the RESET PICTURE button found at the far right end of the PICTURE TOOLBAR.
6. Adjust Contrast and Shading
With the selected picture in GRAYSCALE, it is possible to change the contrast, as well as brighten or darken the picture. You can do this using the four buttons located to the right of the COLOR button. Remember, the more colors the image has, the more variable dot heights the tactile printout will contain.
By using the MORE CONTRAST and
LESS CONTRAST buttons, the picture can have the following appearances. With less contrast the picture becomes more difficult to distin- guish tactilely.
Continue with the MORE BRIGHTNESS and LESS BRIGHTNESS buttons to change the appearance of the image. Just as with less contrast, the image becomes more difficult to distinguish tactilely with less brightness.
7. Format Picture
The following six buttons on the Picture Toolbar are tools that help you adjust different features of the picture.

Crop: This tool helps you crop your picture to a selected size or use only part of an existing picture.
Rotate Left: The Rotate Left button helps you position your picture.
Line Style: Use the Line Style menu to change the thickness of selected lines and frame of picture.
Compress Pictures: With this tool you can change the resolution of existing pictures.
Text Wrapping: Use the Text Wrapping menu to select the text wrapping style you want to use.
Format Picture: This menu helps you change the size, layout, colors, lines and other features of your picture.
