23:35anniversary retirement and other general announcements
23:38notices about coming meetings working copies
23:42most draft and other notifications a personal or transitory nature
23:46sry these types of non record messages should be deleted
23:50when no longer needed instructions on how to upload
23:53email records into the case management system can be found on our MD's website
23:58we all create working copies and drafts of documents during a project the case
24:03so how should they be handled according to records management standards
24:07the answer is that draft should be maintained until the final product is
24:11completed or proved
24:13until a final product is approved the most recent draft is retained at the
24:17record of the activity
24:19the largest volume records in any organization is always
24:22administrative records they are also the ones with the shortest retention periods
24:27usually less than seven years in order to make sure the short term records do
24:31not use up all our storage space and are not kept the on their useful life span
24:36RMT issued a new list administrative case file numbers in January 2005
24:41as part of classification pre-nineteen strong each case title have the legal
24:46expiration date
24:47built-in this case numbers may be used for the case management system

26:10in the area he had false identification and various fraudulent passports
26:16as a result detective siren I initiated interview of the suspect
26:21in the course of the interview he agreed to cooperate and he said he was a member
26:25of a radical anti-government group
26:27and was tasked by an unknown individual to survey targets in the US
26:31tell us more strom I guess I would be right in assuming that you needed to
26:35document that interview
26:37right information like this as you can imagine in these times can be pretty
26:40critical
26:41strom I wrote in Ft 302 on the interview and one on the evidence to seems
26:47when I finish the 302 I took it to my supervisor for review
26:51he noted that it had intelligence value and suggested I send it to the pic

27:02she also felt that the intelligence information in the 302 needed to be
27:06shared
27:07so she prepared and intelligence information report
27:11in the FBI's web-based intelligence dissemination system

27:22being the supervisor said that this might be a serious threat
27:26and to notify the US Attorney supervisor also approve the 302
27:31and the opening up the case II circled the names

28:16how are they handled as records records
28:19I don't think emails are necessarily records but the record sleeves on knows
28:24more about the emails policies than I do

28:55what about this one this is an email regarding the draft 7i I R
29:00this is a good example of an email that's a very short term record
29:03it could be destroyed was the IRS completed
29:06that contains only comments on a draft and has no long-term value
29:11here's one noting that there are TTY is already in Pakistan
29:15who might be able to assist on the case another short term email but probably
29:20one that should be kept longer than 90 days to place
29:23accessible to others in the division are squad either
29:26in the share drive for the divisions paper files one more
29:29for this is an email requesting and justifying
29:33funds that's a good example in the longer term record that belongs with an
29:38administrative case file
29:40it should be uploaded and a paper copy be put in the file
29:43any others that's all thanks it's very helpful to have an expert close at hand

30:00I have another question for you let me ask you about the systems we travel
30:04capability
30:05how does that work well I'll give you an example
30:09during the course of this investigation I found that I needed critical
30:12information from an old case
30:14now I checked with our records Lee a saw to see if the file does
30:17in the field or at HQ it happened to be in HQ filed maintained at to the
30:22Alexandria record center
30:24so I put a request in to the fact system
30:27on the FBI net when they received my request
30:31the staff at Mark pull the file request and the file
30:35and notified me that they have what I was looking for since I needed the
30:38entire case file
30:39not just a a few cereals was charged out to me for ninety days
30:44the Arkle copy in fact smaller volume request
30:48one thing they're pretty rigid about is your responsibility for any
30:51original files you get some park the bottom line is you own it
30:56you own it in other words it's your responsibility to monitor
31:01where that materially as as long as its charged out you
31:04right and they don't make exceptions to that
31:07in fact age in Bartlett in our office needed
31:10the same material so when I was finished I transferred it to him
31:15but I made sure that I made a change in the charge up record
31:19in fact to make sure they knew Bartlett owned it now
31:22well business been helpful aging Cabrera anything else you wanna have
31:26no I I know that information management takes time and may seem complex
31:31but it is worth it information is our most critical resource
