I was recently asked about how an AME proposal should be set up when APAC employees are contributing to the proposal. The answer is it needs to be duplicated in the APAC instance of BST but not set up against the external client.
The process is this;
• The first thing to do is to search to see if the proposal number has already been established in APAC. This can be done by using a Phase or Task search under Project/Inquiry/Project.
• If the number exists then make arrangements with the responsible PFA to have the working org added.
• If the number does not exist then it should be created as a task, under a client phase for Aurecon Sth Africa (007742), on the PR project of the responsible APAC person working on the proposal.
• The Task code is to be the OMS code and should commence with an ‘A’.
• Under no circumstances should the same proposal task be created on multiple PR projects within APAC.
• Only PR projects are to be used for recording time/expense on these cross BST proposals.
