We are seeking your help with a small change to a process when you are sending pre production reports to us. Normally, we will receive the report from you with the file name SGS have allocated to it. We have to look to see what it relates to, and also whether it passed entirely or if there are some failures on it. We then note this on our tracker and change the file name to relate to the contents when we file it in our product files.
For example, a Nickel report dated 16 December 2015 would be changed to PPS Nickel 16.12.15 Pass . If a report has a pass and fail on it, it could be written as PPS Phys Mech FAIL, Lead Cadmium PAH PASS 07.11.14 and the re-test for the failure could be PPS Re-test Phys Mech PASS 17.11.14
This enables us at a glance when looking in the product file to know what has been received, and whether it is a pass or a fail.
As we are a very small team with limited capacity, we are looking to you to send us the reports with the file names already changed to the relevant information contained therein, so we can check and file these without changing the name – as you can imagine this is a very time consuming process for our Administration Assistant who is dealing with many reports on a daily basis.
Can you start doing this with immediate effect and of course we will help and guide you to ensure that everyone is happy with the file names being given by yourselves.
