Purpose of the document
(1) To ensure physical quantities of stock of each company are properly ascertained and recorded.
(2) To assess the age and condition of the stock to evaluate if adequate stock provision has been made in the book.
Closure of warehouses and shop floors
(1) Warehouses and shop floors should be closed on the dates of stocktake.
(2) No movement of stock either in or out during stocktake is allowed.
Timeline and location
(1) Please follow the timeline advised to HKO previously and liaise with auditors locally.
(2) Please advise HKO if there are any changes to the timeline.
Steps to be taken
(Before stocktake)
(1) Tidy up the stock area
(2) Dispose of the obsolete and defective stock before the stocktake date
(3) Segregate the obsolete, defective stock from the good items
(4) Sort the goods into convenient piles
(5) If goods have been invoiced but not yet delivered to customers, they must be identified and located separately and marked clearly. Please prepare for the supporting documents and show to the stocktake teams if needed
