Year-end close 2015
On behalf of Finance Director, we are completed hard close for the month of November with thank you for all of your support and high effort on clear the pending items.
It is important to inform you on the process for year end with key message and attached details timeline in excel file with appreciate all of your effort and support to make the year-end close completed on time with accurate Financial information for year 2015. So please read all information carefully and do not hesitate to contact Finance & Accounting team if you need assistance or have any questions regarding the closing.
Exception for issues / matters which could not be cleared due to timing has to be approved by Finance Director. All expenses up to December which have not been booked yet need to be processed.
The highlight areas as follows require your attention to completing.
1. GENERAL
3 key principle to be consistently deployed to our suppliers, please follow bellowing criteria.
1.1 Goods and Services are not to be delivered without the Purchase Order (PO) or contracts.
1.2 All invoices and correspondences submitted should reference the correct PO number, or contract number, invoices without such required information are not accepted and processed, and thus payment cannot be made.
1.3 All invoices for non-product (inventory) related, goods & services should be submitted directly to the AP (Account Payable Accountant team) for invoice registration process. Then they will distribute the invoices to the purchase requestors for validation.
2. TRANSACTION TYPE
2.1 BOM item with PO: All suppliers’ invoices will be recorded in SAP timely base on attached details timetable.
2.2 Non-BOM item with PO AND with-out PO: All suppliers’ invoices will be recorded in SAP timely base on attached details timetable.
3. PROCUREMENT
3.1 All pending PRs / POs which should be raised, related to activities that to be done within December, please proceed such process and approval.
3.2 Clear pending PRs / POs.
3.3 Identify any onerous contracts.
4. SALES, CUSTOMER SERVICE AND SHOPPER MARKETING
4.1 All pending promotional activities which have been pending to clear with
customers, please contact customers and raise the pending issues to your line manager / directors.
4.2 Clear pending I/O.
4.3 Follow-up any trade term agreement of year 2015 which customer or supplier within December 14 2015 and report any exceptions with reason.
4.4 Credit notes in relation to Market Return and Indochina (Including invoices)
5. MARKETING
5.1 Any pending accrual expenses which should be cleared please make sure such clearances are happened.
6. ENGINEERING
6.1 Review list of open AUC (Asset under Construction) which have been finished but have not been transferred to Fixed Asset and advice to F&A.
6.2 Update status of AUC line item in the list as sent by GL team and return to GL team for reference.
7. CAPEX SPENDING
7.1 Please review your CAPEX request plan with your superior and plan
spending precisely. Any CAPEX budget not spent CAN NOT be carried over to next year and note that expenses will be recognized and reported applying IFRS rules. So pre-payments or early recognition will not be allowed.
8. QA / QC
8.1 Identify any stock which may be at risk and may require setting up a
provision to cover possible write-off of damage to be decided by Finance Director.
9. WAREHOUSE
9.1 An annual physical stock count with a witness by external auditor (KPMG) need to completed and pass the following result to costing manager by December 15 2014
9.1.1 Quantification and identification of damaged good or stocks.
9.1.2 Write-off details with approval, including inventory provision (Finish goods, Raw material, Packaging material and Spare parts) in order to proceed destruction in January and send the letter to external auditor and Tax Authority 30 days prior to destruction date.
9.1.3 Transportation accruals update and clear aging items.
10. PLANNING
10.1 Identify non-moving and slow-moving stocks with in December in order to
proceed decision within year end timeline.
11. LEGAL
11.1 All outstanding litigation including any potential litigation cased has to be
updated the latest status of cases in order to determine the possibility of
provision. This includes the AR write-off list with approval signatures.
12. HUMAN RESOURCE
12.1 Please look at HR related accrual expenses and please identify any over
under accrual expense that may require release / additional expenses to be
set up in the accounts. These expenses are such as accrual bonuses, medical
claims, New Year activities, etc.
13. ADVANCES / PREPAYMENT / EXPENSES CLAIMS
13.1 The last payment for advance expenses will be December 18, therefore the
approved advance request form need to submit on timeline in details
schedule.
13.2 Clear outstanding advances for which the activities for December on
timeline.
Please note that according to the advance policy, advances by users have to
be cleared by sending advance clearance form within 10 business days.
13.3 Any advance not cleared will be settled against salary (Payroll) unless
otherwise approved by HRD and FD.
