Hello All,
I realised that there has been a lot of confusion as to who is tasking what and when and how for all the promotions and updates flying around and I would like to come in to straighten things out.
I would like to propose we follow the following work format or all future marketing communications tasks.
This is very important to avoid us working around in circles and also to ensure that you do not dread going to work every day because work is messy for you.
Summary:
Follow the format of using a project manager.
Project manager will take charge of the project from start to finish, with finish being the point of KPI reporting (if necessary, when not, the point of publication).
How to determine a Project manager:
1. Depending on the type of project, select a relevant department.
2. One person from selected department who will be doing hands-on publishing work or proposing any contest mechanics will become or work with the project manager.
Types of projects that guarantees Marketing members to become project managers:
[Marketing members: Iris & Melissa]
1. Major patch content
2. Major / complicated promotional updates
Other types of projects & relevant department:
1. Content updates – Content team
2. Promotional updates – Product & monetization team
3. Social media updates – Community
4. Technical updates – Product
5. PR updates – Marketing
Work flow:
1. Content settlement: Begging for the content or brainstorming for the event mechanics. Gathering raw materials and information for crafting copywriting and making art creative for the marketing message.
2. Content confirmation: consolidate and finalizing the content and sending it out to the project manager (if you are not the project manager)
3. Tasking: Tasking out the copywriting and design creative by the project manager.
4. Publication / Execution by project manager.
5. Reporting by project manager.
MANDATORY marketing collaterals to be prepared for each update by project manager:
- For all updates:
• Webnews header image
• Webnews copywriting
• Social media post copywriting
- For content & patch updates:
• Webnews header image
• Webnews copywriting
• Social media post copywriting
• FB post image
• Website hero banner
• Forum thread copywriting
• Patch notes!
- For promotional updates:
• Webnews header image
• Webnews copywriting
• Social media post copywriting
• FB post image
• Website Shop Page banner
• Forum thread copywriting
• Webnews hero banner
Internal communication things to notes:
1. Consolidate and send the information to project manager if you are not one yourself. (that will mean you send complete and final information to Iris and Melissa)
2. Please dig for marketing collaterals aka images and videos that you can package with the information you are sending out.
3. Send out the information as early as you can. (refer to design request SOP. Noel needs time to do his work)
4. Send out COMPLETE information to the best of your ability.
Can I have a talk over Skype with the team if this is not clear? I would like to cite recent examples to explain this work flow.
Let’s do this next Monday morning at 10:30 am, Singapore timing. It will probably take 15 minutes max.
