Ensure that the fax is set up properly and turned on.
Take the document you want to fax, and put into the document feeder facing in the proper direction (there is usually a small icon that displays which way the front face of the paper should be facing – see “fax face up or face down?” for details). You should not place the document in the same tray that already has the blank paper loaded into it.
Dial the entire number you want to fax to. A fax number is dialed the same way as a regular phone number – include any long distance / area codes, as well as corporate numbers (such as dialing “7” or “9” for an external number)
Press the “Send” button (usually a green button).
Wait for the fax to transmit.
When the fax is done transmitting, the fax machine will either display “message received” and / or print a confirmation page to show that the transmission was successful. If the message did not go through, it will display and / or print an error message.
If you receive an error message, try sending the fax again (the most common error message is that the fax machine on the other end is busy)
Take your document with you when you are done.
