Job Description – Medical Secretary
Position Summary
The Medical Secretary performs administrative tasks that support patient-centered care
for the Family Health Team including physicians and Interdisciplinary health professionals
(IHPs). The Medical Secretary will rotate between the “Call Centre” and waiting room
Reception areas.
Roles and Responsibilities
1. As the first point of patient contact, this role assists patients in person or on the
telephone to ensure that patient general enquiries, issues and questions are
addressed.
2. Assist patients or other guests in the clinic setting by greeting and confirming the
reason for the visit, registering patients, confirming health card information and
providing forms/requisitions and follow-up on documentation required.
3. Provide information to patients with respect to FHT policies and programs. Work
collaboratively with other administrative staff and health providers to ensure
patient needs are met.
4. Additional responsibilities may include maintenance of clinic and office
equipment, management of service contracts and leases.
5. Open/sort/route incoming mail and faxes.
6. Assist with administrative processing of third-party requests including
photocopying, faxing, mailing information as required.
7. Maintain FHT education/team meeting room schedule.
8. Manage patient appointment bookings for physician and health providers
according to team guidelines and processes.
9. Schedule follow-up patient appointments with all family health team providers
Conduct reminder calls as required to remind patient of appointments.
10. Provide patients with feedback on routine test results, recall or health information
as requested by physicians and nurses.
11.Assist with efficient patient flow as needed by accompanying patients to
examination room and setting up patient in room for booked appointments.
12.Scanning of medical documents.
