• Primarily responsible for general office administrative works that create smooth work flow in the office. Supports department in routine processing of data. Responsibilities include document processing, filing, collating and summarizing data.
• Coordinate and ensure the smooth running of office and other ad-hoc duties as assigned Experienced in booking air tickets, hotels, meeting rooms and local transportation.
• Assist in the planning and preparing of meetings, conferences and telephone conference calls.
• To welcome visitors and receiving guests with proper and professional manner.
• Order, monitor and control office supply such as stationary etc.
• Responsible for keeping track on routine mails and arrangement for couriers and posts
• Contact and prepare documents as required
• Performs clerical office work such as document processing, report compilation and/or record keeping of intermediate difficulty requiring sound knowledge of department and/or company procedures.
• Utilizes a PC, CRT, calculator, and/or typewriter for recording, storing, retrieving and presenting information.
• Creates confidential correspondence.
• Distributes information and reports to office staff as appropriate.
• Handles incoming calls.
• Uses discretion when handling difficult calls and routes calls to appropriate individual.
• Maintains and organizes files, may including copies of employee performance appraisal forms, vacation records, attendance records and so forth.
• Composes routine business report and performs data analysis.
• Greets visitors, as directed, and directs them to the proper person in a professional manner.
