Employees Photo uploads - it would be great if HR representatives could upload their own photos onto the AD. As we manage people, we should be endeavouring to be approachable and visible. (And of course show our support for the project!).
Question: How upload employee photos to Active Directory? When the local HR Representative is ready to upload employee photos, they should contact their Regional IT Manager who will be able to give them access to the security group and folder where the photos need to be copied. The photos MUST meet the following guidelines otherwise the upload will fail. If there are any problems then please contact the local Regional IT Manager, not Help Desk or other IT support staff.
Folder where photos can be uploaded is: \navncws007ADImages.
Access to the folder is controlled through a security group (CORP.ALSGlobal.org/NA/Security Groups/G NA AD Image Uploader).
The accounts of the people who want to drop photos in there need to be added to that group – refer to your local Regional IT Manager (AF – Stefan Rheeder, AU & AS – Clyde Grant, EU – Stepan Krasa, SA – Fernando Valencia, NA – Alan Sleath).
Preparation and naming of the photo file:
1. Files should be as close to a square aspect ratio as possible.
a. This isn’t a showstopper but the images get padded with whitespace and they are very low res to start with so wasting space with white borders is not great.
2. Images should be relatively low resolution.
a. Do not upload 4 MB portraits!
b. The image gets loaded as 96x96 pixels so there is no point in uploading a high-res image and it just takes up disk space.
3. File names need to match the Active Directory SAMaccountname, generally this is Firstname.Lastname (see column Username in attached spreadsheet).
a. They need to be of type JPEG (file suffix .jpg).
b. The uploader will not process the files if the name is not correct or they are of the wrong type.
c. The one variation is that if they want to upload an employee number, they can name the file SAMaccountname.EmpNumber.jpg and the uploader will populate the EmployeeNumber field in the Active Directory.
Once the photos are uploaded an automated process will check the photos and if the format and file name is correct the photo will be uploaded and removed from the folder. It will then take at least 24 hours before the photos are visible in Outlook, Lync and SharePoint.
