Any area with memorabilia will be subject to stocktaking.
When starting to count items the reports concern must include the following information as below:
a.Map of the memorabilia's location such as; Lobby area, Starz Diner, General Store, Front Counter, Marcom, King's Club, Hard Rock Cafe, etc.
b.Memorabilia register with pictures
c.Stocktaking sheet
Include the following:
a. At least a team of two (2) persons should be formed to carry out the exercise (One from Vibe + Finance Department)
b.One person will check the physical item and trace item name & number the Second person will recheck details (photo item, name of memorabilia item, id no. and location) with register (with picture) and map.
If the memorabilia is not in the same location with the map, the recorder must take note in the report and inform the Vibe manager for a further update of the master map.
c. This exercise includes all memorabilia belonging to Hard Rock Cafe International.
d.The inventory sheets must be signed by the stock takers and the outlet representative to confirm the count.
e.All memorabilia that belong to Hard Rock International and or Hotel mustn't be moved without prior authorization from the GM & DOF. (using the transfer/relocation form)
3.Memorabilia Report / Reconciliation
The actual count sheet must be reconciled with the summary report. DOF / GM and department heads concerned must be informed in writing of any discrepancies and acknowledged for further investigation to resolve the discrepancy.
During the stock take exercise, any memorabilia items that are damaged or lost, the department head where the item is located must inform Vibe manager and DOF / GM immediately through the incident report for further investigation / further actions to be taken.
Vibe manager with cost controller will prepare the stocktaking report and submit to DOF and GM for acknowledgement within a month from the date of the exercise, i.e by September.
