Please find attached some notes from my visit to the hospital research facility last week.
Point 7 is also valid for the airport link project and the bank we visited.
1. The reporting sheet needs to be amended to identified the number of jobs attended to but not resolved due to having to order parts etc. These will then be added into another column in the report to show work carried over (WIP).
This will give better sight to the customer on our response time.
I will send the amended spread sheet for recording the repair and preventative maintenance activity next week. I would like to complete the sheet with January’s figures before sending it so it is clear how I works.
Thus if I could please have the following information as soon as it is possible.
· Number of repair requests from the customer in January.
· Number of the January requests that were attended to.
· Total number of repair jobs completed (this also includes any December jobs that were not completed before the end of December).
· Number of December jobs that were not completed before the end of December.
2. Fuel consumption; we need to ensure that we have identified the minimum quantity of fuel to be held in a tank at any time to ensure we have enough fuel for the generators to run on load (normally based on 75%) for a minimum of 8 hours. (unless there is a specific running time identified by the customer)
I have attached a generator fuel consumption chart that can be used for this purpose.
3. On the generator check lists, please indicate when the generators are tested if they are on load or not. This will cover us in the event that the generator fails to take load when required to do so.
Also if it is not currently happening, the generators should be tested on at least 75% load twice per year.
4. We need to identify a suitable area for hazardous materials such as paint, oxygen bottles, propane bottles etc. Preferably this will be in a secure outside area with ventilation.
5. In the office, the current store room needs to be rearranged to ensure the fire exit is clear at all times. In addition please prepare an inventory of all parts stored in the store room and ensure it is kept up to date.
6. A record for PM works is to be created to log the jobs in the same way as the repair jobs are being recorded. I suggest you use a similar excel format and then these can be added to the monthly PP report.
7. I noticed that several of our technicians were not wearing basic PPE such as safety shoes. Please investigate a reputable supplier for safety shoes that stock certified shoes (not cheap copies). Once we have sourced the supplier please ensure to get samples for viewing. The safety shoes should be the correct fit for the person and light weight. Please remember these technicians are wearing these shoes all day and they must me comfortable. When selecting them, try them on yourself and ask would you be prepared to wear them all day!
