HOTELS
Each country is required to update and maintain their preferred hotel list. Selection of preferred hotels should take into account price and ease of access to the local ACE office. The country preferred hotel list must be reviewed and signed off by the local President.
The regional travel coordinator will collect and monitor the preferred hotel lists for each country/business unit.
When travelling to destinations outside of the home country or within the Asia Pacific Region, the following procedures apply:
a) All visitors must stay in the designated hotel selected by the host country. An exception must be approved by the Regional President .
b) The host country will be responsible for making the hotel reservation and the visitor will make payment for all hotel accommodation, own meal and incidental expenses. In certain circumstances frequent travellers’ hotel expenses will be borne by the host country in line with the Regional Visitor List. In circumstances where the host country is expected to bear the costs of lodgings and the visitor is NOT on the Regional Visitors List, prior approval of the local President is required.
c) Other expenses incurred in the hotel should be confined to incidental expenses such as telephone charges, laundry, mineral water etc but should exclude all entertainment expenses.
d) All entertainment related expenses are to be paid directly by the traveler either through cash or use of their credit card.
e) Direct billing of lodging expenses to the Company is not authorized, with the exception of company sponsored meeting/conventions.
