STANDARDIZED FORMS
Much of the savings which are realized in creating a paperless office come from the computerization of business forms. According to Datek Information Service of Massachusetts, forms make up over a third of all business documents. American companies spend more than US $6 billion dollars on preprinted forms. They waste US $2 billion dollars on preprinted forms. For every dollar spent to buy a paper form, US $60 is spent to distribute, store, and process it[5].
Once the data from the forms is inputted into the system, it can be shared with all users via printing, fax, e-mail, or over a network. Once the data is in the system it can be analysed. Over 50 per cent of large corporations have started using forms-processing software due to the huge savings in cost and paper that it allows[5].
The people who must fill out the forms tend to be relatively unsophisticated computer users. A graphical user interface is an advantage here. The ordering terminals at Taco Bell which are currently being installed is an example of a situation where the customer needs only to touch the screen on the graphical display of the item he/she wishes to order, such as a taco. The computer then places the order and totals the bill. The only needed human interface is providing change and handing over the order.
