without you realizing?
Even if you have no intention of adding recipients to emails that you exchange with your colleagues, sometimes
your colleagues may cc additional people for the purpose of sharing information. Or, if your customer has cc’ed
other people, you may wonder whether to include those people in your return mail. In principle, you must always
consider the question of whether the people you include in your email are appropriate individuals to receive the
information you are sending. If you have any doubts, please check before you send your email.
What to take note of with respect to email recipients:
・Pay attention to whom you are sending your email and try to limit the number of recipients as much as possible
(do not simply choose “Reply All”)
・Be sure to always thoroughly check the confirmation screen of the feature that prevents you from sending out
an email by mistake
・Check, in particular, whether email addresses of persons outside our Company or mailing list that you do not
know are included as recipients of your email
・Do not heedlessly include additional persons in the cc field
⇒ When trying to decide if you really need to include additional recipient(s) in the cc field, consider the
possibility that all of the recipients of your email may choose to hit “Reply All” when responding to you.
