Scope of Responsibilities:-
• Handle the day-to-day operations of a variety of office services to ensure the company’s administrative needs are met efficiently, reliably, and economically.
• Manage all incoming call both local and international calls to appropriate staff members. Welcome company customer, guests and visitors.
• Take care of incoming and outgoing mail, parcels both local and oversea.
• Supervise and coordinate activities and benefit of staff
• Manage requisition and inventory of product, stationery and office supplies. Prepare reports and summarize data for inventory
• Coordinate with Office Building for all relevant issues such as Maintenance work
• Coordinate with IT support; setting up and maintenance PCs
• Ensure management appointments, meeting schedule, all booking, air ticket, travel and accommodation arrangements are properly arranged.
• Maintain office equipment and product to ensure its work properly and efficiently.
• Managing recreational and employee relation activities such as New Year Party etc.
• Support Engineering Team in terms of purchasing materials, spare parts and tools.
• Manage and coordinate all purchasing materials/services are delivered to site/customer on time.
• Handle all Sales Administration duties such as order processing, quotation.
• Provide quality and efficient service to customers.
• To liaise with both oversea/local suppliers, customers.
• To liaise with others support function in any sales related.
• Follow the customer’s order to be on time for required delivery schedule.
• Prepare shipping/transportation arrangement.
• Manage and control stock balance
• Record and prepare report
• Maintaining necessary paperwork, documentation, data system maintenance.
• Co-ordinate with internal and external party and assist in administrative tasks.
• Perform any other duties as assigned.
