First of all, we are very sorry for above mentioned matter that conflict with your specific requirement and this matter occurred with first container of products produced on 3-5 January 2011 only.
Regarding to this matter, we would like to explain to you that we set the production planning to produce your product immediately after restarting the production on January 3, 2011 in order to fit with January shipment schedule altogether with fruit supply in that period. In actual production, we found that the inkjet machine was broken because the injection head was stuck. Therefore, we could not inkjet the product code and expiry date on can lids to fit with your requirement after the products passed the cooker and cooler properly. Besides, we produced three products codes packed with 8 oz can size and seamed with Seamer D/1 on January 3, 2011. With these reasons, our team made the decision to emboss the product code on can lid to prevent product mixing after passing the cooker and cooler without asking your permission first because they did not want to miss an opportunity to produce your product on that day.
As we have explained to you that almost of our canned products are embossed product code on can lid for traceability purpose and we have the control measure to ensure that the embossed code do not affect to the can condition and its quality profile; therefore, our team thought that this practice should be accepted by your team. Then we asked PIC sales to ask your permission to allow us produce your products for first container only.
We realize that this is our fault because we should inform this matter to you in advance and get the approval from you before starting the production. But anyway, that time was in long holidays, so we hardly found the right time to contact you and ask your approval properly. We confirm that this problem would not occur in the next container, please consider our preventive action on this matter as follow.
Preventive action
- Plan to produce your products with seamer D/1 for each production date only to prevent product mixing.
Inspection of embossed code on can lid
As we have explained to you that almost of our canned products are identified products code on can lid for traceability purpose. The product code is embossed on can lid and date code is declared on can lid by inkjet system. To ensure that the embossed code on can lid is in proper condition and not affect to can condition and its quality profile, we/QA must inspect the condition of embossed code as follows.
- The appearance of embossed code must be clearly defined, readable and visible.
- The dept of embossed code on can lid must not affect to the layer property of tinplate. Potassium ferricyanide is the chemical substance used for testing the dept of embossed code.
- Inspection result of embossed code is recorded and kept. Please consider an example of this inspection result as attachment 2.
By the way, we enclosed some production and inspection records along with this letter for your consideration. That are;
1. Production record of products code packed in A1 (8 oz) produced on January 3, 2011. There are three products code produced on that day.
2. Inspection result of embossed products on January 3, 2011
3. Specification sheet of lacquered lids
4. The photos requested by your team during the latest visit date, January 5, 2011
With above explanation and preventive action, we believe that this problem would not occur in the future. Your specific requirement for coding identification must be followed strictly otherwise we must ask your approval in case that there is any problem deviation from your specification before starting your product.
